Photo Submissions
Members are encouraged to submit photos to the Club for the themed projects, website galleries, events and activities.
Photo submissions and project voting services are provided online by a company called PollUnit.
PollUnit submission process
- Log in to the website and go to the Whats On calendar page.
- Click on the ‘View Detail’ button in the appropriate calendar entry to see the submission button.
- Within PollUnit, click the ‘Join as guest’ link and provide your name.
- Click on the ‘Add Photo’ button.
- Click on the ’Select File’ button… navigate to the photo on your computer and select it.
- In the ‘Image title’ field… clear the filename text and enter the title or description for your photo.
- Fill in your first name and last name in the Creator field. No nicknames or abbreviations. Please use uppercase first letters and lowercase remaining letters (ie: Fred Bloggs)
- Tick the upload conditions box.
- To help improve our photography, periodically we may choose a submitted photo for review during meetings. Select from the drop down list whether you are happy for this image to be reviewed, or not.
- Click the Save button.
- Photos must be a minimum of 2500px on the shortest side.
- Photos must be a maximum of 8000px on the longest side.
- Photo file size must be under 50MB.
- If a photo is outside these dimensions, the PollUnit system may hang and not complete the task. It may not report to you that it has rejected the photo. In that case, cancel the upload, resize the photo accordingly and re-submit.
- When your photo has been received, you will see a ’Thank You’ page.
- To submit another photo, click the ‘Add Photo’ button again.
- Once the submission deadline has passed, you will be unable to submit any more photos.
Submission guidelines
Please follow these general guidelines when submitting photos:
- Process your photos first. Take the time to make the adjustments necessary for lighting, exposure, white balance, straightening, cropping etc, to show your images in the best possible way.
- Keep the resolution high. Ensure you submit photos at the highest resolution possible (see minimum & maximum requirements above). Avoid excessive cropping which downsizes a photo. Be aware that email software on your computer may downsize a photo when you attach it to an email…. you may need to override that feature. Photos below 2500px on the shortest side cannot be accepted.
- JPGs only. Send images in JPG format only.
- File naming. Change the filename of the photo using the syntax: creator – topic – sequence.jpg (eg: Fred Bloggs – Reflections – 01.jpg)
- Metadata. It helps protect your ownership of the image if you use your camera or editing software to update the following metadata fields of each image:
- Creator: Your Name (eg: Fred Bloggs)
- Copyright: ©Year Your Name (eg: ©2026 Fred Bloggs)
- No watermarks or frames. Please do not put any logos, watermarks or frames over your photos. Your copyrights are reserved and made clear on the website.
- Try to keep them recent. If possible submit photos taken in the past 12 months. However, if that’s not possible it’s better to submit an old photo rather than no submission at all.
- Keep it family. Avoid offensive, contentious, political or indelicate content in your images. Yes, this is censorship and we are sensitive to that. We wish to allow our members artistic freedom…. however we are a community club working with schools, youth organisations and local councils. We want to maintain those relationships and a good public reputation. The TPC committee reserve the right to reject any images considered at odds with those goals.
- One image, one project. Once you have submitted an image for a project, please do not submit it again for another project. This will keep all the project images fresh and encourage members to take new photos.
- Be self critical. Pick your best images and reject images that have technical problems…. eg: poor composition, out of focus, blurred, low resolution, very noisy. Of course sometimes these things contribute to the image and add artistic value… however be honest with yourself… does it enhance the image or does it look like a mistake. If you are struggling to get images that you are happy with, ask someone at the Club. Our members are very willing to share their experience and techniques to help you improve your photography and overcome any difficulties you may be having.
